Extenuating Circumstances – 2026 Applications

The extenuating circumstances (EC) process allows registered pharmacists to apply for an exemption from, or reduction of, their CPD obligation, if they are or have been experiencing extenuating circumstances within the CPD year. Please be advised the deadline for completed applications is 30 April 2026.  Only complete applications will be considered by the Registrar, in accordance with the Council of the Pharmaceutical Society Northern Ireland (Continuing Professional Development) Regulations (Northern Ireland) 2013. Incomplete applications will not be considered. Late applications may be considered at the sole discretion of the Registrar. The onus is on the registrant to ensure the timely submission of a completed application with accompanying acceptable evidence, as there is no guarantee that a late submission will be considered.  Further details on acceptable and unacceptable circumstances can be found here. CPD Selection Emails Issue

The Pharmaceutical Society NI is aware that on 1 July 2025 a number of pharmacists received an email containing incorrect information regarding the assessment status of their CPD portfolios. All pharmacists who were affected have now been notified of the error, and their correct assessment status has been issued to them. The criterion for CPD assessment selection is laid out in the CPD framework. The selection process is automated and the Pharmaceutical Society NI contracts a third-party software provider to perform this function.  The software provider has indicated that a coding error resulted in the incorrect emails being generated for some pharmacists. The Pharmaceutical Society NI has requested that the software provider conducts a full and urgent investigation into why this, and previous software malfunctions in the 2024/25 submission period have happened.  It is hoped that this investigation report will be available ahead of the next Council meeting on 29 July 2025.  Council papers are available on the Society’s website one week before a Council meeting date. We understand this error may have caused some distress to those who received an incorrect email. We would like to offer our sincerest apologies to everyone who has been affected by this error. We would like to reassure pharmacists that the Pharmaceutical Society NI is doing all that it can to ensure that the CPD submission and assessment process is without incident in future submission periods.

Important Announcements Regarding CPD

We have two important announcements to make regarding the CPD portal.Please see below. 23/24 Submissions – Ignore the Countdown Clock Graphic As announced on Friday 24th May, due to unplanned and unavoidable episodes of disruption of registrant access to the CPD portal, the Pharmaceutical Society NI has agreed to extend the deadline for submissions by 1 week. The deadline for submissions will be 11:59pm on Friday 7 June 2024. However, when you log into the portal to work on your submissions you will see a countdown clock that still states that the deadline is this Friday (31st May 2024). Please ignore this countdown. We were unable to remove this clock graphic without further disruptions to your access to the portal. Rest assured that it is simply an animated graphic, and will in no way affect your access to submitting your CPD cycles right up until the new deadline. Slight delay in opening of 2024/25 CPD cycle We know that some of you like to get started with recording CPD cycles as soon as each new submission year starts. This year (CPD Year 2024/25), because of improvements that we are making to the CPD portal, there will be a necessary delay in your access to the portal. These improvements have been informed by focus groups of pharmacists, facilitated in conjunction with our web developers, Fortesium. This is to ensure that you will get the best possible user experience when you begin to record your 2024/25 cycles. Please do not start to record any 2024/25 cycles on the CPD portal until we notify you that the portal is ready. Any work you do on your 2024/25 submission before we give the go-ahead may result in irrecoverable loss of your effort. If you have set aside time in early June to record CPD cycles, we suggest that you write up your work on a Word document, so that you can copy and paste it into the CPD portal once the new system goes live. Once the new system is up and running, we are confident that all registrants will find it easier to work on your submissions. Thank you for your patience.

Closure of the legacy CPD Portal and how to save your previous submissions

The legacy CPD system will be closing on 14 May 2024.  After successfully migrating the CPD portal to the Regulator Online (ROL) system in November 2021, we will be closing the previous CPD system on 14 May 2024. After this date, any material on the previous system, commonly referred to as the ‘Pink system,’ will no longer be accessible. If you wish to retain previous CPD material click here to access the site. The username is your email, and the password is the one connected to that account. If needed, your password can be reset by clicking “forgotten your password”. (This link no longer exists). When you get into your archive of portfolios you will need to do the following depending on your web browser: Microsoft Edge: Google Chrome Firefox The material will remain available until the closure date of 14 May 2024. The below video illustrates how to download your individual cycles. Please note this example was recorded using Microsoft Edge. Refer to steps 3-6 above for instruction on how to save your cycles using other web browsers. Please do not add any CPD cycles using the previous system. Click here to access the current CPD system.
